The Sunshine Coast Minor Hockey Association would like to thank all of our Volunteers - past, present and future for their dedication, hard work and willingness to be of service for the good of the kids. And we have lots of rewarding positions to fill for the 2011/2012 Minor Hockey season!

Please see the following list of SCMHA Volunteer Positions. Positions noted in green need a volunteer ASAP for the 2011/2012 hockey season:
President
- Preside as chairman at any meeting of Directors.
- Act as CEO of the SCMHA and supervise the other Directors in the execution of their duties.
- Preside at all meetings of SCMHA and the Directors and generally perform the duties usual to the office of President.
- Call meetings of SCMHA or its committees
- Act as liaison for PCAHA and BCAHA in regards to, by-law enforcement, and suspensions.
- Make decisions for Directors in the case of an emergency when it is impossible to obtain a vote of the Directors.
- Appoint a disciplinary sub-committee to administer disciplinary issues with regard to players, parents and team officials.
- Advise any player or team official of suspensions and disciplinary actions taken by PCAHA, BC Hockey and SCMHA
- Appoint a recording secretary when the secretary can not be present at meetings.
- Represent SCMHA at all PCAHA and BC Hockey general meetings or appoint an alternate.

Have the power to suspend any team, player, parent, member, spectator, team official or referee for unsportsmanlike conduct on or off the ice, abusive language to any of the officials, or failure to comply with the Regulations of this Association pending a review of the incident by the Discipline Committee within fourteen (14) days.

Be a signing officer for the Association.

Exercise the powers of the Executive Committee in case of an emergency.
Vice President
- Perform the duties of the President in his absence and shall act as Ombudsman.

Be a signing officer for the Association.
Registrar
- Shall set dates for hockey registrations in late August with the Registration Committee, consisting of all the Hockey Directors of all participating community centre.
- Shall obtain and record a list of all teams, players, coaches and managers and submit same to the WMHA, or other appropriate body as required.
- Shall insure that all players are properly registered in their home zone.
- Preside at a pre-season meeting of all coaches and managers, at which time rosters are completed and forwarded to WMHA, or other appropriate body as required.
- Shall act as Association Privacy officer.
- Will arrange for the preparation of a written or verbal report to the Annual General Meeting.
- Shall exercise a vote as a member of the Executive Committee.
- Report to the Board at each monthly meeting.
Secretary
- Conduct all the correspondence of SCMHA.
- Issue notices of meetings of SCMHA to the Directors.
- Prepare and keep copies of minutes of all meetings of the SCMHA.
- Keep all other records and documents of the SCMHA except those required to be kept by the Treasurer or Registrar.
- Keep the common seal of the SCMHA.
- Keep our status as a Society current with the Registrar of Companies.
Treasurer
- Keep the financial records, including books of account, necessary to comply with the Society Act.
- Supply financial statements to the Directors, members and others when required.
- Make bank deposits and keep records of money deposited.
- Apply for gaming grant.
- Write cheques to pay the bills.

Provide a written financial report at each Executive meeting and a written statement at the Annual General Meeting.

Pay all justified expenses incurred by the Association in a timely order.

Be a signing officer of the Association.
Director - Ways and Means
- Review, plan, and implement a fund-raising program for SCMHA.
- Organize a Vancouver Giants night.
- Ensure team managers know the regulation regarding 50/50 draws.

Set up an accurate recording system covering income and disbursements relating to sponsorship and fundraising for delivery to the Treasurer.

Actively pursue new sponsorships as well as manage and supervise current sponsorships.

Present a report regarding sponsorship to the Executive to recommend policies regarding sponsorship.

Purchase and arrange to have sponsor bars placed on all house league and representative team jerseys for which sponsors have been obtained.

Be responsible for the establishment and execution of any fundraising by the association and to collect monies from such events and deposit receipts with the treasurer.

Submit a monthly report to the Executive of all sponsorship and fundraising activities. Attend monthly Executive meetings.

Review for approval (within the context of previous Executive decisions) all fundraising events proposed by SCMHA representative and house league teams and ensure they maintain any licensing requirements.

Co-ordinate and apply for, all licensed fundraising activities with the appropriate government bodies.
Director - Risk Manager
- Represent SCMHA at PCAHA and BC Hockey Risk managers meetings and seminars.
- Recommend Safety policies to the Board.
- Work with the team managers to ensure there is a qualified safety person on each team.
- Ensure all team Safety Reps have completed their certification clinics by the deadline of December 1.
- Purchase first aid kits for each team
- Submit list of safety people to the PCAHA Risk Manager.
- Coordinate and run a Speak Out course and a Safety Course as necessary depending on the needs of the organization.
- Answer emails with various safety related issues (that may require further investigation with the PCAHA) -- particularly how to report an injury.
Director - Lion's Gate League Manager
- Attend Lion's Gate League Meetings once a month from September to June.
- Act as League Manager for one division, H2, H3, H4, Atom, PeeWee, Bantam, or Midget
-Schedule games
-Collect game scoresheets
-Ensure players listed on scoresheet are rostered to the team
-Provide tournament permission numbers. - Attend the LGL Coaches/Managers meeting in the fall to represent your division.
- Attend monthly Lions Gate meetings in Vancouver.
- Supervise the operations of a league on a day to day basis.
- Act as a communications and resource person for the coaches/managers of the teams in the league. Circulate information (bulletins, rule interpretations from the PCAHA and BCAHA, etc.) to all teams in the league.
- Keep track of exhibition games through assignment of exhibition games numbers. Ensure that teams turn in game sheets from all exhibition games.
- Issue permission numbers for teams to attend Tournaments and forward a copy of the permission form to the team and the team’s Association President. Ensure that teams turn in game sheets from all tournament games.
- Ensure that the regular season schedule is issued to all teams.
- Ensure all conflicting and rescheduled games are made up.
- Ensure all team rosters are turned in prior to the first league or tiering round games. Keep track of roster changes as advised by the Managing Director.
- Ensure score sheets are turned in by teams in a timely fashion.
- Maintain team standing records.
- Issue league standings to the teams at least 4 times during the season (suggested: Nov 10th, Dec 1st, Christmas break, and end of regular season) or when requested by the Managing Director.
- Provide standings on a regular basis for posting on the PCAHA web site.
- Maintain team and individual penalty minute records. Bring to the attention of the Managing Director any disciplinary problems.
- Keep track of player and team official suspensions and ensure automatic suspensions are served.
- Supervise playoffs at the direction of the Managing Director.
- Act as the first level of the protest/complaint/appeal process; handle regular season game protests.
- Provide the Managing Director (and “C” League board or Female Hockey Committee, if applicable) with regular reports and updates. Bring forward for settlement any areas of concern that may arise.
- Prepare a final (year end) report, including league standings and playoff results, for submission to the Managing Director (and “C” League board or Female Hockey Committee, if applicable) not later than April 1st.
Director - Equipment Manager
- Ensure the jerseys are clean and in a good state of repair before the beginning of the season.
- Ensure the right number of jerseys in the right size are in each locker.
- Order any replacement jerseys by July 1.
- Change the combination on the door of the equipment room.
- Swap the locks on the lockers.
- Solicit quotes for and purchase by July 1.
- Purchase pucks.
- Collect jersey deposit cheques from Team Managers.
Coaching Coordinator
- Engage coaching personnel as required from time to time and shall be generally responsible for organizing and supervising all coaching activities on behalf of the Society.
- Organize instructional clinics for players and/or coaches during the course of the season.
- Assign Rep coaches.
- Assign a Head Coach.
- Ensure all coaches have their required certifications by the deadline of December 1.
Referee-in-Chief
- Certified as a level II official or above in the Hockey Canada Officiating Program (HCOP).
- Must be over 16 years of age.
- Mentor young on-ice officials and guide their interpretation of the game.
- Ensure all the officials are aware of the courses they must take each year to stay certified.
- Work in conjunction with the referee assignor.
- Attend (monthly) PCAHA RIC meetings.
- Conduct off-ice and on-ice sessions for officials.
- Recommend officials to PCAHA - Best Ever programs, grading changes etc.
- Coordinate with other North Shore RICS - NSWC, Hollyburn and North Van.
Ref Assignor
- Contact refs and linesmen for all home games for Hockey 4, Atom, PeeWee and Bantam House and Atom and PeeWee A. - approximately 7 games per week.
- Work closely with the Referee-in-Chief.
Ice Scheduler(can be shared by two people)
- Negotiate ice time from the municipality.
- Assign ice times to teams with a strict set of scheduling criteria.
- Re-work the schedule throughout the season to account for game conflicts.
- Update the Ice Schedule on the web site throughout the season.
Tournament Coordinator
Web Site Coordinator
- Work with the Registrar to identify changes required to the Registration System prior to the beginning of the new season.
- Act as Privacy Officer for the Association.
- Act as Liaison with the SCMHA Web Master.
- Update SCMHA primary site information when needed and assist Managers & Ice Scheduler with new year schedule updates when needed.
- Act as Communications Coordinator for the public media.

- Ensure certified coaches show up to the first few ice times until permanent coaches are in place.
- Work with the Coaching Coordinator to identify coaches for each team.
- Work with the coaches and the Coaching Coordinator to balance the House teams.
- Work with coaches and registrar facilitate interdivisional movements when necessary.
- Help to solicit and register volunteers for Management, Safety, Asst. Coaching positions for each team.
- Educate divisional parents at the beginning of the season re: SCMHA policy, rep commitments, House level philosophy, avenues of communication.
- Act as liaison in Coach / Player conflict.
Team Photo Day Coordinator
- Schedule photographer and coordinate advance arrangements with arena staff.
- Develop shoot schedule and distribute order packages to team managers.
- Provide printed photo packages to team managers.
Player Development Coordinator
- Evaluate, plan, and implement a Player Development program.
- Hire the Power Skating and Hockey Skills consultants.
Sunshine Coast Blues Apparel Coordinator
- Order clothing items as required.
- Keep accurate inventory.
- Produces year end statement of sales.
- Run 4 large sale blitzes October 1st, Team Photo Day, December 1st and February 1st for wrap up party needs.

Awards Coordinator
The Sunshine Coast Minor Hockey Association is looking for a volunteer(s) to coordinate the end of season - awards night ceremonies.·
There will be two separate ceremonies held in April.· There will be one evening for the Tyke, Novice and Atom divisions, and the other for the Pee Wee, Bantam and Midget divisions. ·Or possibly, one full day with the younger divisions in the afternoon and the older in the evening.
The Awards Coordinator will be responsible for:
- Booking the venue for the two ceremonies.
- Arrange for physical set up of the venue.
- Arrange for an MC for the ceremonies (or perform duties by self.)
- Coordinate award requirements with each of the Division Managers.
- Make a list of the different awards for the different divisions and communicate each of these to the Division Managers.
- Arrange for all annual trophies to be returned.
- Inspect all trophies that are to be awarded, and arrange for any replacements.
- Order trophies, awards and participation medals.
- (Val at Tony’s Lock – very helpful.)
- Contact Head Coaches for their teams’ award selections.
- Give deadlines for team award selections.
- Arrange for engraving of the trophies and awards.
- Pick up of trophies, etc. and arrange for storage until the ceremony.
- Day of ceremony, organize timeline and order of awards.
- Day of ceremony, organize presenters for the awards.
- Day of ceremony, coordinate all awards for distribution.
- After ceremony, remove any unclaimed awards, distribute to Div. Mgrs for them to give to recipients.
- Record all trophies, awards and recipients.
- Record details pertaining to the ceremonies for future use, and give to the Executive.
